We have previously requested the ability to edit and customise automated communications sent to trades, tenants and owners, so agencies can ensure the information being issued is relevant to their processes and reflects how they choose to communicate with each party.
This functionality is available across other related platforms we use, including Property Tree, Inspection Manager and IRE, however we currently have very limited control over the communications generated here.
With the increasing regulatory focus on electronic communications in Australia, this control is becoming even more important. Ultimately, it is the agency/business communicating with the recipient that is responsible for how its communications are managed, not simply the software used to send them. Agencies should therefore have greater control over who receives automated communications, what information is included, and ideally which communications are enabled at all.
This is particularly relevant for trades. Some automated notifications contain vague or unnecessary information, such as warranty status changes and other internal workflow updates. These are generally internal agency processes, yet are being communicated externally and can cause confusion for trades receiving them.
Providing users with greater control over automated communications, similar to other industry software, would allow agencies to better manage their own communication requirements while ensuring external parties only receive information that is relevant and appropriate to them.
The option even to confirm if we want the auto message to be sent or not would be helpful too.
